1. Who we are

Sailio is a trading name of AIntelligence Ltd, a company registered in England and Wales under company number 15995676, with its registered office at 71-75 Shelton Street, London WC2H 9JQ.

We are the data controller for the personal information described in this notice. If you have any question about how we use your information, email charter@sailio.co.uk.

2. What we collect

When you send an enquiry we collect your name, email address, telephone number, and the details of the charter you are asking about — the yacht, the dates, the size of your party and any extras or notes you add.

We also keep a record of the date and time you accepted our agency terms, because that record is part of the arrangement between us.

Our web server keeps standard technical logs, including your IP address and browser type, for security and diagnostics.

We do not ask for and do not want passport copies, skipper qualifications, crew lists or payment card details. Those are handled by the charter operator directly, under their own privacy notice.

3. Why we use it, and our lawful basis

We use your enquiry details to respond to you and to introduce you to the charter operator. Our lawful basis is that this processing is necessary to take steps at your request before entering into a contract.

We use our server logs to keep the site secure and working. Our lawful basis is our legitimate interest in protecting the service.

Where a charter goes ahead, we keep the booking record because we are required to retain business records for tax purposes. Our lawful basis is compliance with a legal obligation.

If we ever send you marketing email, we will do so only with your consent, and you can withdraw that consent at any time.

4. Who we share it with

We pass your enquiry to the charter operator you are asking about, so that they can quote and contract with you directly. From that point they hold your information as a controller in their own right.

We also use service providers who process information on our behalf: our email delivery provider, our mailbox provider, and our hosting provider. They act on our instructions and may not use your information for their own purposes.

We do not sell your personal information, and we do not share it for advertising.

5. Where your information is held

Our servers are located in London. Our charter operators are based in Croatia, which is covered by a UK adequacy decision, so no additional safeguards are required.

Our email delivery provider is based in the United States. Where information is transferred there, it is protected by the safeguards required under UK data protection law.

6. How long we keep it

If your enquiry does not lead to a charter, we delete your information 24 months after our last contact with you. We keep it that long because charters are usually planned a season or more in advance.

If your enquiry leads to a charter, we keep the record for six years after the end of that charter, because it forms part of our business and tax records.

Server logs are kept only for a short period and then discarded.

7. Your rights

Under UK data protection law you have the right to ask us for a copy of the information we hold about you, to have it corrected if it is wrong, to have it deleted, to ask us to restrict how we use it, to object to our use of it, and to receive it in a portable format. Where we rely on your consent, you can withdraw it at any time.

To exercise any of these rights, email charter@sailio.co.uk. We will respond within one month.

8. Automated decisions

We do not make any decision about you by automated means, and we do not profile you.

9. Cookies

We use only the cookies necessary to make the site work and to keep your enquiry form secure. We do not use advertising cookies, and we do not currently use any analytics or tracking service.

10. Complaints

If you are unhappy with how we have handled your information, please tell us first at charter@sailio.co.uk so that we can put it right. You also have the right to complain to the Information Commissioner's Office at ico.org.uk.

11. Changes to this notice

If we change how we use your information, we will update this page and change the date at the top.
